This policy explains what information Bellbrook Amateur Radio Club (BARC) collects through this website, how we use it, and the choices you have. BARC is a 501(c)(3) nonprofit — we don't sell, rent, or share your personal information with third parties for marketing purposes.

Information We Collect

When you register for membership through our Join BARC form, we collect the information needed to process your membership and keep our records current: name, call sign and license class, mailing address, email address, home and cell phone numbers, ARRL membership status, and any areas of interest or comments you choose to share.

When you contact us through a contact form on this site, we collect your name, email address, and the message you send.

When you browse the site, standard technical information may be logged by our hosting provider (such as IP address and browser type) for security and site performance purposes — this is not used to personally identify visitors.

How We Use Your Information

We use the information you provide to:

  • Process and maintain your BARC membership
  • Send club communications, newsletters, and announcements (only if you opt in)
  • Maintain our annual Club Directory, distributed to current members only
  • Respond to questions or requests submitted through our contact form
  • Coordinate club activities such as Field Day, meetings, and events

We do not use your information for advertising, and we do not sell or share it with third-party marketers.

Member Directory

Inclusion in the online Member Directory is opt-in only. You control whether your name, call sign, email, and phone numbers appear there through the "Show in Directory" setting on your My Profile page.

The Member Directory is only visible to logged-in, current BARC members — it is not publicly accessible. You can update your opt-in preference at any time by logging in and editing your profile.

Third-Party Services

This site uses a small number of third-party services to provide certain features:

  • Google Calendar — our homepage and calendar page display upcoming club events pulled from a public Google Calendar. This does not involve sending any of your personal information to Google.
  • PayPal — if you choose to pay membership dues via PayPal, that transaction is handled entirely by PayPal under their own privacy policy; BARC does not receive or store your payment card details.
  • Our web hosting provider — like any website, ours runs on a hosting server that may log basic technical/security information as described above.

We do not use third-party advertising networks or sell visitor data to data brokers.

Cookies

If you leave a comment on one of our posts, you may opt in to saving your name, email address, and website in a cookie so you don't have to re-enter them next time. These cookies last one year.

If you visit our login page, a temporary cookie is set to check whether your browser accepts cookies. It contains no personal data and is discarded when you close your browser.

When you log in, we also set cookies to save your login information and screen display choices. Login cookies last two days (two weeks if you select "Remember Me"), and screen-option cookies last one year. Logging out removes your login cookies.

Comments

When visitors leave comments on the site, we collect the data shown in the comment form, plus the visitor's IP address and browser user agent string, to help with spam detection.

An anonymized string created from your email address (a "hash") may be sent to the Gravatar service to check whether you have a profile picture registered there. Gravatar's own privacy policy is available at automattic.com/privacy. If your comment is approved, your Gravatar profile picture is visible publicly alongside your comment.

Comments and their metadata are retained indefinitely, so we can recognize and approve legitimate follow-up comments automatically rather than holding every comment for manual review. Comments may also be checked through an automated spam-detection service.

Embedded Content

Some pages on this site may include embedded content from other websites (for example, our calendar of events). Embedded content behaves exactly as if you had visited the other website directly — it may collect data about you, use cookies, and monitor your interaction with that content, especially if you're logged into an account on that other site.

Password Resets

If you request a password reset, your IP address is included in the reset email as a standard WordPress security measure.

How Long We Retain Your Data

If you register as a member, we store the personal information in your profile for as long as you remain registered on the site. You can see, edit, or delete most of this information at any time by logging in and visiting My Profile (your username cannot be changed). Site administrators can also access and edit this information as needed to manage the club roster.

Your Rights & Choices

As a BARC member, you can:

  • View and update your personal information at any time by logging in and visiting My Profile
  • Opt in or out of the Member Directory listing at any time
  • Opt in or out of club email communications
  • Request an exported copy of the personal data we hold about you
  • Request that we erase your personal data, except where we're required to retain it for administrative, legal, or security purposes

To make a data export or deletion request, contact us using the information below.

Children's Privacy

This site is not directed at children under 13, and we do not knowingly collect personal information from children under 13 without parental involvement. If you believe a child has provided us with personal information, please contact us and we will remove it.
